The challenge
Employees responsible for calculating maintenance contracts work with complex calculations in which installations, maintenance times, and costs all come together. For years, this process relied entirely on Excel. Because every employee used their own method, the result was fragmentation, error-proneness, and little visibility into ongoing calculations. There was also a clear need for better oversight.
Our approach
Together with users and stakeholders, we developed a central application that digitalises and standardises the calculation process for maintenance contracts. Employees can import equipment lists or add them manually, review installations, and adjust maintenance times based on the specific situation in a building. This allows them to build up maintenance calculations in a structured way and generate a substantiated quote for multi-year maintenance contracts.
The application aligns closely with existing working methods, allowing users to work intuitively from day one, while complex calculations become significantly easier to build and oversee.
The solution
The goal was clear: one central application that enables standardisation without restricting the professional freedom of the estimator. Product League made this happen with OutSystems as the platform.
After a thorough discovery, we worked weekly alongside estimators, the business owner, and key stakeholders. Every design decision was validated with the people the application was built for, before a single line of code was written.
The result is Maincal: a maintenance planning application that allows estimators to import equipment lists, adjust maintenance times per situation, and generate substantiated quotes for multi-year maintenance contracts.
